During the IQusion Days event, LLC IQUSION IT presented the capabilities of using artificial intelligence in corporate business process management systems. The presentation showcased new features of the Scriptum system, which allow embedding AI tools into specific stages of business processes, automating routine operations, and increasing enterprise efficiency.
One of the main themes of the presentation was the transition from using artificial intelligence as a separate auxiliary tool to its direct integration into corporate information systems. This approach allows applying AI capabilities where they create the greatest practical value, while maintaining control over business process execution.
From Automating Individual Operations to Intelligent Process Management
Business Process Management (BPM) systems today ensure the formalization of procedures, task routing, deadline control, and interaction between enterprise departments. The implementation of artificial intelligence expands these capabilities through automated information analysis, document processing, and recommendation preparation.
During the Scriptum demonstration, an approach was shown where AI tools are used at defined stages of the business process without disrupting its overall logic.
For example, when processing an incoming document, artificial intelligence can recognize its content, determine the category of the request, extract key details, and suggest a responsible executor. At the same time, the decision to approve the document, make a payment, or conclude an agreement remains with the authorized employee.
A similar approach can be applied in procurement, human resource management, customer service, contract management, and internal document flow.
The main advantage of this model is that the enterprise gains intelligent automation capabilities without needing to transfer full control of critical operations to artificial intelligence.
What Controlled AI Implementation Provides
Proper integration of artificial intelligence into corporate systems can provide enterprises with a number of practical benefits.
Primarily, this includes reducing the time for repetitive operations, decreasing the volume of manual data entry, accelerating document processing, and increasing information accessibility for management decision-making.
AI can analyze large volumes of unstructured data, prepare concise document summaries, identify discrepancies, and suggest further actions in accordance with established rules.
Integration at the level of individual steps allows for evaluating the effectiveness of the technology based on specific metrics: processing time per request, number of corrections, staff workload, and operational cost.
Thus, the enterprise can gradually expand the use of AI, focusing on the results of practical testing rather than expectations from the technology.
Why Artificial Intelligence Powers Need Limitations
Alongside new opportunities, AI implementation creates additional risks, especially if the system is granted the authority to independently make and execute decisions with legal, financial, or organizational consequences.
Even modern language models can generate inaccurate information, misinterpret context, or reach erroneous conclusions based on incomplete data. In a corporate environment, the consequences of such errors can include incorrect payments, breaches of contractual obligations, disclosure of confidential information, or mistaken decisions regarding clients and employees.
A separate risk is granting AI agents excessive access rights to corporate systems. If an intelligent agent can not only analyze information but also independently modify records, delete documents, approve operations, or initiate payments, an error or malicious manipulation can lead to significantly more tangible consequences.
Therefore, one of the fundamental principles of implementation must be a clear delineation of powers: artificial intelligence performs defined functions, and critical decisions undergo established verification and approval procedures.
"We see great potential for artificial intelligence precisely in its integration with corporate business processes. However, the effectiveness of automation should not be measured by the number of decisions a company transfers to the algorithm. It is much more important to correctly determine where AI can assist humans and where mandatory control must be maintained. In business process management systems, this is particularly crucial, as every action can be part of a complex chain of legal, financial, and managerial decisions," noted Serhii Balashuk, Director of LLC IQUSION IT.
European AI Act: New Requirements for Responsible Artificial Intelligence Use
The issue of controlled AI implementation is gaining particular importance in the context of European regulation.
The European Union's Artificial Intelligence Act (AI Act, Regulation (EU) 2024/1689) introduces a risk-based approach to the development and use of AI systems. The scope of obligations depends on the technology's purpose, its application context, and the risks to people's rights and safety.
For systems classified as high-risk, the legislation mandates requirements for risk management, data quality, technical documentation, event logging, transparency, human oversight, accuracy, robustness, and cybersecurity.
The principle of human oversight is of particular importance. It stipulates that high-risk AI systems must be designed so that authorized individuals can adequately monitor their operation, understand their limitations, evaluate outcomes, and, if necessary, intervene in the system's operation or stop it.
At the same time, the AI Act does not impose a general ban on autonomous AI actions nor does it require human approval for every operation. Specific requirements are determined by the risk category and the organization's role in the system's application.
For companies operating in European markets, this means the necessity of considering regulatory requirements already at the design stage of digital solutions. Furthermore, the use of AI in HR procedures, employee evaluations, or other sensitive areas requires particularly thorough legal assessment.
Scriptum for Phased Implementation of Intelligent Automation
The approach to using AI in the Scriptum system, demonstrated during the presentation, involves integrating intelligent functions into managed business processes with clear execution rules and defined responsibilities.
Thanks to this, corporate clients can start with individual tasks—document analysis, request classification, information retrieval, or drafting decision proposals—and gradually move to more complex automation scenarios.
According to LLC IQUSION IT specialists, the combination of artificial intelligence's technological capabilities with formalized business processes, controlled access rights, and human oversight can form the basis for secure digital transformation of enterprises.
